We are searching for a local, driven, and responsible person to fill a full time Project Controls & Job Costing Administrator position in Grande Prairie, Alberta. You will be a key member of the team and support the day-to-day administrative, project control, payroll and accounting functions of the business.

CORE RESPONSIBILITIES:
Project Administration & Controls
- Support Project Managers with project setup, administration, document control, and close-out activities.
- Maintain project documentation including contracts, change orders, RFIs, purchase orders, and correspondence.
- Track project schedules, milestones, deliverables, and project costs.
- Assist with project reporting, cost tracking, and variance analysis.
- Identify and resolve project documentation and cost discrepancies.
- Review and reconcile employee timesheets, field tickets, and supporting documentation for payroll and job costing.
- Support payroll administration and coordinate payroll information with Human Resources.
- Assist with customer billing, accounts payable, account reconciliations, and labour cost allocations.
- Prepare purchase orders and coordinate materials, vendors, subcontractors, and related documentation.
- Verify supplier invoices and maintain accurate financial and purchasing records.
- Support field personnel with administrative processes, payroll documentation, and project reporting.
- Organize daily field reports and monitor outstanding documentation.
- Assist with preparing estimates, proposals, and operational reports.
- Maintain accurate electronic and physical project and payroll records.
- Ensure compliance with company policies and applicable legislation.
- Build positive working relationships with employees, clients, vendors, and subcontractors.
- Support Health, Safety and Environment initiatives.
- Perform other related duties as assigned.

QUALIFICATIONS:
- Business Admin Diploma or Certificate (or equivalent experience) or combination of the following:
- Accounting or bookkeeping diploma or certificate (or equivalent experience)
- Certificate in MS Office Suite (or equivalent experience)
- ERP training (or equivalent experience with Discovery, MS Navigator, Great Plains, SAP, JD Edwards or similar)
- Minimum five (5) years of related administrative experience, preferably in construction, industrial services or project-based operations.
- Payroll Compliance Practitioner (PCP) designation is considered an asset.
- Intermediate to advanced proficiency with Microsoft Office, particularly Excel.
- Must be legally entitled to work in Canada
